Job Description

Applications are invited from suitably qualified and experienced persons to fill the vacant post of PERSONAL ASSISTANT TO DIRECTOR ENGINEERING that has arisen in our organisation.

DUTIES AND RESPONSIBILITIES

Running the Director’s Office

  • Receives and welcomes visitors to the Director’s office, screens and directs them appropriately
  • Attends to Director’s visitor’s, note issues and advises accordingly
  • Receives building plans, registers them for the approval of the Director
  • Manages the Director’s diary through appointment bookings and advises the Director on activities and events in and outside the office
  • Receives and makes telephone calls on behalf of the Director and takes appropriate action
  • Ensures that the Director’s Office is kept clean and in working order on a daily basis
  • Makes travel arrangements and hotel bookings for the Director

Secretarial duties

  • Receives files/mail for actioning by the Director, prioritises the files/mail hands over files/mail to the Director
  • Handles incoming and outgoing files/mail and takes appropriate action
  • Types all correspondences and documents for the Director and the department
  • Drafts letters and memos on behalf of the Director and the department
  • Prepares notices and agenda for departmental meetings chaired by the Director and takes minutes during meetings

Administration duties

  • Organises and coordinates departmental functions and workshops
  • Raises indents for items required by the Director
  • Identifies faults and raises works orders and ensures that repairs and maintenance of equipment and minor fittings is carried out
  • Provides refreshments and meals for the office as directed

QUALIFICATIONS AND EXPERIENCE

  • Advanced Diploma in Secretarial and Administration or equivalent.
  • 5 years relevant experience
  • At least 27 years of age.

The council offers competitive remuneration commensurate with relevant qualifications and experience which however, will be disclosed to shortlisted candidates.
