Job Description

Job Description

The incumbent will be responsible for maintaining an up-to date accounting record, reports of food, cash transfers and processing of transporter payments

Key duties and Responsibilities

  • Ensures adherence to project cash transfer delivery mechanism, guidelines/standard operating procedures and raise any challenges with the Commodity and Cash Transfer Manager
  • Ensures support to Financial Service Providers on reconciliation of monthly cash transfers
  • Prepares monthly and quarterly cash transfer reports
  • Prepares payment request for invoices after reconciliation for the transporter and loaders
  • Maintains an updated record of all transporter, loader contracts, donor communications and memos submitted by warehouse or programme staff
  • Liaises with transporters and loader company representatives on invoice reconciliations and payments
  • Receives waybills, material delivery sheets (MDS) from the drivers, food monitors and updates the CTS database
  • Verifies all losses, damages, transfers, warehouse returns, ensuring accurate data capturing and production of relevant documentation is done by the Warehouse keeper
  • Liaises with the Warehouse keeper to ensure stack cards and ledger are correctly filled in for all commodities
  • Coordinates monthly physical counts of food and non-food items, ensuring compliance with physical count guidelines
  • Custodian of the Warehouse commodities compliance and audits files
  • Produces CTS Masvingo reports namely, Commodity Status Report (CSR), Recipient Status Reports and Loss Reports, Extended Delivery Point and Distribution Reports
  • Reconciles planned cash transfer distributions against planned

Qualifications

  • HND in Accounting, Business management/ administration or equivalent
  • 3-4 years working experience in Accounting 3 years of which should be in CTS or commodity/cash transfers accounting or other related field
