Job Description

Location: Harare
Reporting to: Finance and Administration Officer


A local Organisation is looking to hire a dedicated Finance and Administration Assistant (Graduate Trainee) to work in its local office based in Harare. The organisation’s work is centred on theatre and social and economic development in communities around Zimbabwe.

Role purpose

The incumbent is expected to:

  • Ensure day to day accounting and administrative functions are performed in accordance with organisational policies, procedures and requirements.
  • Responsible for monthly cash reconciliation and submit for review to Finance and Administration Officer;
  • Preparation, monitoring and analysis of monthly reports including input into the accounting system;
  • Petty Cash management;
  • Preparation of and verification of all payments and receipts including supporting documentation;
  • Management of logistics related activities.

Key responsibilities

  • Assist with implementation of internal controls, and administrative systems, policies and procedures to ensure that day-to-day operational activities are efficient and effective, and are in-line with approved strategic initiatives and budgetary allocations.
  • Assist with managing accounts payable, accounts receivable, purchasing, processing and receipting of payment of invoices, payroll and bills.
  • Assist in maintaining parallel records of income and expenditure in financial database.
  • Assist to ensure adequate cash flow for the organization’s requirements, by monitoring remittances, and preparing requests for funds as needed
  • Assist in preparing and presenting quarterly and yearly financial budgets and cash flow forecasts, and works with the Finance and Administration Officer to actively monitor and understand budget variances.
  • Assist in reviewing monthly financial statements and assist in preparing narrative reports
  • Assist in managing bank accounts and monitoring reconciliations, transactions including wire transfers, and keeping track of signing authorities.
  • Preparing documents and schedules for annual audit, and liaise with auditors.
  • Monitoring expenditures to ensure that program funds are utilized appropriately.

Qualification and experience

  • Degree in Accounting or equivalent.
  • At least one year work experience an added advantage.
  • Knowledge in the use of Pastel Accounting Knowledge;
  • Excellent computer skills including Microsoft packages;
  • Knowledge of payroll systems an added advantage;
  • Good written and communication skills;
  • Excellent time management and organizational skills;
  • Ability to manage multiple deadlines and work under pressure.
